Choosing staff accommodation: a checklist for HR teams

Selecting accommodation for a workforce is not only a cost decision. Getting it wrong creates turnover, transport problems and compliance exposure.

Capacity and room density

Confirm the licensed occupancy, not just the physical bed count. Overcrowding is the most common compliance failure and the easiest to avoid at the point of signing.

Approvals and documentation

Ask to see the building’s accommodation licence and civil defence certification. Both should be current and in the landlord’s name.

Transport and location

Calculate the real door-to-site journey at shift-change times, not off-peak.

Maintenance responsibility

Establish in writing who handles AC, plumbing and electrical faults, and what the response time commitment is. This is where most accommodation disputes originate.
